2. Information We Collect

When you contact us through our website, we may collect:

  • Your name and email address.

  • Your reason for contacting us.

  • Information you voluntarily include in your message.

  • Information about a potential podcast guest, recommendation or collaboration.

  • Any further information you choose to provide during subsequent correspondence.

Please keep your initial enquiry brief. Do not include sensitive personal information about yourself or anyone else, such as health details, religious beliefs or information about someone's sex life or sexual orientation. If further information is needed, we will discuss how it can be shared appropriately.

If someone recommends you as a potential podcast guest, we may receive your name and details about why you have been recommended. We will use this information to consider the recommendation and will provide you with relevant privacy information, including where we obtained your details, within the applicable legal timeframe, normally within one month, or when we first contact you if earlier.

3. How We Use Your Information

We use the information you provide to:

  • Respond to your messages and enquiries.

  • Consider potential podcast guests and their stories.

  • Follow up on guest recommendations.

  • Discuss collaborations, partnerships or other opportunities.

  • Manage communications relating to the podcast.

We do not sell your personal information.

Submitting an enquiry will not automatically subscribe you to marketing emails or newsletters.

We will not publish your story or personal information simply because you have contacted us.

4. Our Lawful Basis for Processing Information

For ordinary enquiries, we rely on legitimate interests under UK data protection law.

Our legitimate interest is to communicate with people who choose to contact Behind the Familiar and manage the podcast's activities.

We only collect information reasonably necessary for these purposes and take account of people's privacy rights and expectations.

Legitimate interests alone does not permit us to use special category personal information, such as information about health, racial or ethnic origin, religious beliefs or sexual orientation. Before requesting or using this information for a guest enquiry, we must identify both a lawful basis and an additional condition under data protection law, and explain these to you. Where we rely on explicit consent, we will ask for it separately. Sending an enquiry does not itself give that consent.

Where we rely on legitimate interests, you have the right to object to our use of your personal information. We will consider any objection in accordance with applicable data protection law.

5. How We Store and Share Your Information

Our website is built using Framer, which processes information submitted through our contact form.

Enquiries are sent to our podcast email account, which is provided by Google.

We use these services to receive, store and manage communications.

We may also share personal information when the law requires it, or when necessary to establish, exercise or defend legal claims.

Our service providers may process information outside the United Kingdom. Where international transfers take place, we will ensure appropriate arrangements and safeguards are in place as required by applicable data protection law.

Our website contains links to external platforms, including Spotify and social media services. When you follow these links, you leave our website and the external platform handles your information in accordance with its own privacy policy.

6. How Long We Keep Your Information

We normally retain general enquiries and potential guest submissions for up to 12 months after our last contact.

Where we are actively discussing a guest appearance, collaboration or ongoing enquiry, we may retain relevant information for longer while those discussions continue.

We review ongoing enquiries at least annually.

If someone becomes a podcast guest, their recording permissions, agreements and related records will be managed separately in accordance with applicable legal requirements and our guest arrangements.

We delete information when it is no longer needed, unless we are legally required or otherwise entitled to retain it for longer.

7. Podcast Guests and Recording Permissions

Contacting Behind the Familiar or expressing an interest in appearing on the podcast does not constitute permission to record, edit, publish or distribute your story.

Before participating in a recorded interview, guests will be provided with separate information about the recording and publication process, together with appropriate agreements and permissions.

We recognise that conversations may involve personal or sensitive experiences and aim to approach these discussions with care, respect and transparency.

8. Your Data Protection Rights

Under UK data protection law, you may have the right to:

  • Request access to personal information we hold about you.

  • Request correction of inaccurate information.

  • Request deletion of your information in certain circumstances.

  • Object to certain uses of your information.

  • Request that we restrict how your information is processed.

  • Request transfer of your information where the right applies.

To exercise your rights or ask a question about your information, please contact:

behindthefamiliar@gmail.com

You can normally exercise your data protection rights free of charge. Where we rely on your consent, you can withdraw it at any time by emailing us. Withdrawal does not affect the lawfulness of processing carried out before you withdrew consent. You also have the right to object at any time to the use of your personal information for direct marketing purposes.

You also have the right to raise a complaint with the Information Commissioner's Office (ICO).
